Rowan University makes Google Apps for Education available for all faculty, staff and students. Google Apps includes Google Drive, which allows users to upload, store and share both non-sensitive and sensitive files. Sensitive files include, but are not limited to, medical records, social security numbers and credit card information.
Google Drive is readily available on any device using your favorite web browser such as Google Chrome or Internet Explorer. You can also install the desktop and mobile application to easily access your files from your computer or mobile device.
If you are currently using another cloud storage program such as Dropbox, Box, iCloud or OneDrive, to store your information, you are advised to transfer that information to Google Drive.

PLEASE NOTE: The Google Drive client for Mac/PC is being replaced with Google Drive File Stream. Drive File Stream is a new desktop application that allows you to quickly access all of your Google Drive files on demand, directly from your computer, meaning you use almost none of your hard drive space and spend less time waiting for files to sync.
The Google Drive client for Mac/PC will no longer be supported starting on December 11th, 2017, and it will shut down completely on March 12th, 2018.
We encourage you to use Drive File Stream and upgrade now if you currently have the old Google Drive client on your computer. This application lets you stream My Drive and Team Drive files directly from the cloud

With Team Drives, Rowan University students and employees now have the ability to create shared files in Google Drive that belong to a group, rather than just one individual.
This means content ownership and sharing are managed at the team level, which ensures important data and documents are easily accessible at all times. Files stored in a Team Drive will remain where they are, even if the team member who created the file leaves Rowan University.
This new feature also allows you to tailor permissions based on who you’d like to edit, comment, reorganize or delete certain files.
Start collaborating with your colleagues and classmates using Team Drives today.
Please note that Team Drive editors won’t be able to edit their Team Drive files when they’re opened in Drive File Stream; they’ll only be able to view them. To edit these files, they’ll need to open them in Drive on the web.

If you have never logged into your Rowan Google Apps account you may need to "Add" it to your Google login page when trying to access a link to a shared document or folder.
If the Google login defaults to your personal Gmail account, click "Sign in with a different account" at the bottom of the window.
On the next screen, if your Rowan account isn't listed, click "add Account"
You will then be redirected to the Rowan CAS page to authenticate. Enter your Rowan username and password again to login.
For Rowan accounts with access to Protected Health Information
Rowan University and Google have an agreement that protects the privacy and confidentiality of university student, faculty, staff and alumni data in the Google Apps for Rowan suite of services. This agreement is known as the Business Associate Agreement (BAA) and safeguards Protected Health Information (PHI) in accordance with HIPAA guidelines.
As a result, you may only use core Google Apps to conduct university activities that are aligned with your role at the University, provided that you do so according to the University’s Acceptable Use Policy.
Core Google Apps available to all Rowan users:
Because of HIPAA compliance barriers, certain accounts with PHI access will not be able to use some Google App services. The services listed below will be disabled for those specific users because they could potentially compromise the University’s responsibility to protect PHI data.
Non-Core Google Apps unavailable to Rowan users that have access to PHI data:
If you are part of the University’s healthcare community and believe you have a business or academic need to access any of these Google Apps, you will need to get an exception for use from both the Compliance and Information Security offices. Please note that this action would then transfer your account to a non-BAA user group and make accessibility to any PHI data restricted.
(Note: An exception for YouTube is only needed for those who post or edit content on that site)
