Information Resources & Technology has adopted a new policy that provides increased flexibility for allocating and managing computers and other IT equipment assigned to the Rowan community.
The Information Technology Equipment Allocation (ITEA) Policy was developed with input from faculty, staff and university leaders to help us meet our community’s diverse technology needs.
Key Takeaways
- Essential Device Program: Employees who qualify for a device under this updated version of the trade-in cycle program are assigned a standard workstation that is centrally-funded and replaced on a regular schedule, currently set at five years. The standard workstation is intended to meet the needs of most employees. However, if you require enhanced capabilities, such as increased memory or processing power, to complete your work, you may request a standard workstation plus. You must explain your business needs in the request, and you must cover the difference in cost from the standard workstation through your departmental budget or other funding source.
- Supplemental Equipment Requests: Employees may request additional equipment outside the Essential Device Program to meet specific needs. Supplemental equipment must be bought with departmental budgets, grant awards or another funding source and does not qualify for centrally subsidized replacement cycle planning or funding. With IRT approval, supplemental equipment may be assigned to non-employees, including affiliates, emeriti, graduate assistants, adjuncts and research assistants, or designated as a shared device.
- Equipment Ownership & Management: All equipment — regardless of funding source — is the property of Rowan University, though rare exceptions may apply. All equipment will be configured with the full suite of standard management tools and policies provided by IRT and follow a lifecycle managed by IRT, though you may request exceptions.
You may review the full ITEA policy on the University Policies website. We also encourage you to review our FAQs about the ITEA policy and our article that defines the standards for different workstations in the policy.
This new policy replaces the Employee Workstation Assignment Policy and the Technology Ownership Policy.
Thank you to the faculty and staff who collaborated on this updated policy. Your input has been invaluable in shaping a comprehensive policy that meets our community's diverse needs. We appreciate your continued support and collaboration.
